Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate's qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.
Position Summary Information


Job Description Summary
We have an exciting opening for a Post-Award Research Grants Analyst to serve as an extension of the Office of Research to an assigned portfolio of faculty in various departments. The selected applicant will work with principal investigators, faculty, and staff to coordinate post-award activities for grants and/or contracts.

  • Assists with managing the award, activities including monitoring the budget and liaising with PIs and relevant department staff to resolve issues.
  • Provides guidance on funding agency regulations, as well as Chapman University's administrative and fiscal policies.
  • Monitors and tracks subawards, facilitates hiring personnel and management of efforts, and assists with award closeout.
  • Additionally, this position may work with Sponsored Projects Services (SPS) leadership and staff on SPS departmental projects and/or special assignments as needed.

Experience in Research Administration is preferred but not required, as we offer comprehensive training. Responsibilities

  • Initiate award activities and develop and maintain databases for awards, and related *
  • Manage award activities by preparing quarterly shadow budgets, monitoring and preparing budget status/expenditure and projection reports for PIs *
  • Interpret, monitor, and maintain current knowledge of grant funding policies, regulations, and procedures, and comply with funding agency's requirements and university's fiscal policies * Provide guidance to PIs on appropriate spending, forecast potential projection issues and recommend course of action *
  • Resolve on-going post-award issues and work closely with various departments to reconcile budgetary matters *
  • Manage and track subawards *
  • Facilitate with hiring personnel, extra pay, academic year effort and course releases *
  • Serve as liaison between Office of Research and various University departments on communications relating to award activities, trainings, and maintain records to support review of PI effort reports *
  • Work with the PI's departments, HR, and financial services to resolve effort issues .
  • Assist with award close out and report potential variances
  • Collaborate with Sponsored Projects Services team on various projects and assignments, as needed

Required Qualifications

  • A Bachelor's degree or equivalent experience. Ability to keep abreast of current best practices in research administration.
  • Minimum three years' experience working in an administrative environment, preferably at a non-profit organization with research functions (i.e., institute of higher education, lab, or research center).
  • Strong financial background and analytical skills to analyze reports and spreadsheets and resolve discrepancies.
  • Time management skills and the ability to complete multiple assignments with fluctuating deadlines in a timely manner
  • Experience in obtaining data and disparate information from various sources. Experience in organizing and presenting data, infographics, charts, and tables to summarize data.
  • Skill to operate a computer in a networked environment, including working knowledge of computer programs. Strong computer skills specifically: Excel, Word, Outlook, and Teams. Technical skills to quickly learn and use enterprise systems and new software including cloud-based applications.
  • Strong writing and editing skills to prepare and proofread clear, concise, and grammatically correct business correspondence, reports and publications and communicate complex information.
  • Strong organizational skills to plan and prioritize deadlines and perform multiple tasks without constant direct supervision, and sharp attention to detail.
  • Demonstrated effective communications and interpersonal skills to interact with diverse individuals and groups at all organizational levels, both within and outside of the university.
  • Ability to use tact and diplomacy and maintain a high level of confidentiality.
  • Proven ability to work as a part of a team and be committed to team success.

Desired Qualifications

  • Familiar with 2 CFR 200 "Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards."
  • Experience in an academic research administration environment.
  • Preferred knowledge of PeopleSoft
  • Experience in management of externally funded programs in a university environment or similar complex research setting
