The purpose of this position is to maintain and update land ownership records for all real property in the City of Waukesha. The position is responsible for complex technical office work in the field of property descriptions, assessments, and land records. These responsibilities include maintaining accurate real property listings, data to produce assessment rolls and tax bills, and other work in accordance with Wis Stats 70.09.

Schedule: Exact schedule TBD, 20 hours per week
Starting salary: Depending on qualifications $28.1916 - $33.1254

Essential Job Functions

  • Updates ownership and legal descriptions for the assessment and tax rolls.
  • Creates new tax parcels as required through the splitting and platting of land records
  • Searches historical land title records to identify and verify ownership.
  • Works with legal documents to transfer ownership and create new parcels to include deeds, land contracts, final judgements, awards of damages, name changes, affidavits, wills, easements, patents, etc.
  • Maps out metes and bounds legal descriptions from public records.
  • Communicates and assists with internal and external customers as well as real estate professionals, including surveyors, land planners, developers, and attorneys.
  • Enters data and changes into computer assisted mass appraisal real property database.
  • Processes transfer return/document information provided by Waukesha County.
  • Validates and verifies real property sales transactions to be used in the valuation process of real property.
  • Researches, corrects, and improves City database as needed including the ability to make scale drawings of properties.
  • Assists in the preparation of assessment and tax rolls, and property assessment notices.
  • Maintains status on all tax-exempt properties, requesting forms and verifying exemptions, and reports exemptions to the Department of Revenue.
  • Provides superior customer service to internal and external customers.
  • Works efficiently within the time frame of statutory deadlines.




Requirements of Work
Graduation from an accredited two-year college program plus 1-3 years of real property listing experience. Professional Title Examiner Certification is desirable. Or any equivalent combination of training and experience which provides the following knowledge, ability, and skills:

Knowledge of

  • Department policies and procedures.
  • Business English, including grammar, punctuation, format, and tone.
  • General office procedures and the use of standard office equipment and relevant software programs.
  • State laws and municipal ordinances related to property assessments and real property listing.
Ability to
  • Multitask and prioritize workload.
  • Work independently with minimal supervision.
  • Establish and maintain effective working relationships with supervisors, coworkers, and the general public.
  • Understand, read, and interpret real estate documents.
  • Be detail oriented to handle and account for transfers of property to ensure ownership information is recorded correctly for assessment and taxation purposes.
  • Analyze, research, and interpret complex documents and information.
  • Be highly detail oriented.
Skill in
  • Oral and written communications.
  • Dealing courteously and professionally with others.
Necessary Special Requirements
  • Must have, or be able to obtain, DOR Certification as Assessment Technician within 18 months of hire.
