SUMMARY

The Executive Assistant provides administrative support to the Coroner and the Coroner leadership staff as needed.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Act as the first point of contact for all interactions with the Coroner;
  • Coordinate and help schedule appointments for Coroner;
  • Provide logistical support for meetings, public engagements, and appointments;
  • Develop and organize meeting materials including PowerPoint presentations and talking points;
  • Organization and management of all written and verbal communications of the Coroner;
  • Respond to inquiries from other departments and external stakeholders;
  • Attend meetings with or for the Coroner, both internal and external;
  • Provide documentation and record of all meetings attended;
  • Development of announcements, meeting invites, and flyers, in collaboration with Communications, etc.;
  • Format letters, memorandums, and reports from rough draft to final copy;
  • Screen and prioritize mail in conjunction with the Coroner, appropriate distribution, preparing response and acknowledgment;
  • Provide support to other Coroner Office Senior Leadership staff as needed;
  • Identify appropriate events, programs, and other opportunities;
  • Assist in the planning and execution of special projects for the office and community;
  • Other duties as assigned.

QUALIFICATION REQUIREMENTS

  • High School Diploma, Bachelor's Degree preferred;
  • Strong professional, administrative, and technical skills;
  • Excellent communication skills, both written and oral;
  • Excellent interpersonal skills;
  • Good time management and critical thinking skills;
  • Ability to work independently and as part of a team creativity and strategically;
  • Expect occasional evening and weekend events and presentations.
