Student Success and Well-Being Department of Housing and Residence Life:

The mission of the Department of Housing and Residence Life is (HRL) to provide residents with safe housing communities that foster student success through innovative living and learning opportunities. HRL is a large complex department that employs approximately 350 staff and oversees 12 residential communities that house approximately 8,000 residents.

The Opportunity:

The Student Success and Well-Being (SSWB) Department of Housing and Residence Life is currently accepting applications for an Executive Assistant I. This role provides administrative support and assistance to the Assistant Vice President (AVP) of Housing, Recreation, Childcare and Student Neighborhood Relations, and the Director of Housing Administration and Finance (DHAF). This position provides high-level administrative support, acts as a liaison to internal & external partners, as well as provides high-level customer service to students, staff, and parents.

This is an Auxiliary-funded position. Employment is subject to availability of funding and may cease at the time funding for this employment is depleted.

Responsibilities:


  • Interacts regularly with all levels of administration and acts as a liaison as needed to accomplish objectives.

  • Organizes and assists with planning and execution of administrative functions related to report writing, budget management, financial records, personnel and recruitment, event planning, and project management.

  • Organizes and maintains project information for sensitive and confidential projects.

  • Assists the Assistant Vice President (AVP) with organization and coordination of Housing and Residence Life ( HRL), Recreation and Wellness (RWC), Creative School for Children (CSC) and Student Neighborhood Relations units.

  • Assists the DHAF in human resource administration including talent acquisition, records, policy management, collaboration with HR Service Center and questions related to payroll, taxes, benefits and compensation.

  • Composes and prepares correspondence and reports for AVP's signature, DHAF, staff members, and where appropriate. Compose and prepare own correspondence in response to inquiries and AVP's office business.

  • Researches university information, parent, student, partner concerns, and national trends to assist AVP.

  • Oversees the daily operations of the AVP office. Provides direction to others to ensure procedures are upheld for smooth office operations. Develops and implements administrative standards, policies, and practices.

  • Manages Outlook calendar for both AVP and DHAF including scheduling, planning, and maintaining all meeting appointments. Prepare for, attend meetings, and transcribe meeting agendas and minutes. Compose, edit, and proofread correspondence, reports, and other documents.

  • Assists with project management and execution of special events, hosting visitors, and taking initiative on unit projects.


Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.

Preferred Qualifications:


  • Proficient with Microsoft Suite applications, including but not limited to: Outlook, Word, Excel, PowerPoint, and Teams.

  • Experience with formal communication: in person, written, and verbal through electronic means.

  • Detail-oriented, organized, and appreciation for the support of large organization.
