What You'll Do:

As the Project Administrator, you will join our corporate Contracts team in our brand-new Lexington Park, MD office space. We're looking for an energetic, proactive, and detail-oriented individual who is ready to hit the ground running! This position will be primarily on-site, with some flexibility for telework. It is not a remote position.

Your responsibilities as our Project Administrator will include:

  • Coordinating the issuance of purchase orders in accordance with company policies and procedures
  • Maintaining subcontractor file documentation to ensure compliance with contractual requirements and regulations
  • Obtaining proper approvals for each subcontract, ensuring adherence to procurement protocols
  • Serving as a liaison between the contracts and finance teams to facilitate timely processing of subcontractor invoices
  • Implementing best practices, and supporting ASEC Procurement policy and procedures to ensure efficiency and compliance
  • Proactively monitoring and managing expiring subcontracts, facilitating renewal or termination as directed by the Director of Contracts
  • Preparing purchase orders, soliciting bid proposals, and reviewing requisitions promptly and accurately as directed by the Contract Administrator
  • Collaborating with the Director of Contracts on the preparation and execution of various contract agreements, including Teaming Agreements (TAs), Non-Disclosure Agreements (NDAs), etc.
  • Processing funding modifications, including additional funds or de-obligation of funds
  • Coordinating with the Contracts Administrators for initiating and completing Subcontract closeout documents
  • Coordinating with the Procurement Specialists to create purchase requisitions for direct material procurement
  • Additional responsibilities may be assigned as needed
  • This position may require flexibility in working hours

Requirements

Who You Are:

  • You have at least 3 years of experience in a contract administration or procurement role (required)
  • You have a strong understanding of contract management principles and practices
  • You navigate the MS Office suite like a champ
  • Bonus points if you have an awareness of government contracting regulations and procedures
  • Knowledge of Costpoint software is a huge plus! At a minimum, you should be system-savvy.
