Division Coordinator/ Coordinator of Grants Fiscal Management

Job Description:

Reporting to the Director of Institutional Advancement/Chief of Institutional Advancement, the incumbent serves as an important member of the Institutional Advancement Team to support the college's development, implementation and closing out of college grants. Responsibilities include:

  • Supporting the fiscal implementation of college grants in accordance with college and county policies and procedures, including hiring personnel, travel, and procuring goods and services for grants, and supporting the college's grant-funded projects in the accurate and timely processing thereof;
  • Interpreting and ensuring compliance with federal, state, agency and grant program requirements;
  • Monthly monitoring, forecasting and reporting out on individual grant budgets to the Director of Institutional Advancement, Business Office grants unit, and grant project directors; 
  • Monitoring and supporting time and effort reporting, and serving as a resource to project directors and the college in the accurate and timely processing thereof;
  • Supporting reporting on federal, state, local and private foundation award budgets and modifications;
  • Monitoring and supporting college sub-awards to ensure timeliness and compliance;
  • Monitoring college and agency draw-down of funds to ensure timely processing of grant fiscal awards;
  • Performing mathematical calculations and supporting financial transactions;
  • Supporting external and internal audits; and
  • Other related duties


Requirements:

REQUIRED QUALIFICATIONS:  The successful candidate must possess one of the following:

  • Master's Degree in education, educational administration, public administration, business administration or a related field and two years of experience in the administration of an academic, programmatic or support services area in the field of education or in the public sector, and/or two years of grants management or accounting experience in higher education settings; OR
  • A Bachelor's Degree in education, educational administration, business administration, one of the social sciences, or a related field is required and four years of experience in the administration of an academic, programmatic or support services area in the field of education or in the public sector, two years of which may be grants management or accounting experience in higher education settings.

Additionally the successful candidate must possess:

  • A high level of proficiency in Microsoft Excel and Peoplesoft Finance;
  • Knowledge of applicable Federal, State and local laws and regulations governing sponsored projects, including 2 CFR 200-Uniform Administrative Requirements, Cost Principles and Audit Requirements for Federal Awards.

All candidates must have evidence of responsiveness to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, as these factors relate to the need for equity-minded practice within the classroom.

PREFERRED QUALIFICATIONS:

  • Previous role in project management support with community college/college grant development and implementation teams.
  • Applicants who have received certification as a grants management specialist, such as the Certified Grants Management Specialist (NGMA), Management Concepts' Grants Management Certificate, or Grant Professionals Certification Institute's Credentialed Grant Professionals credential or other similar certification.
  • Experience with PeopleSoft Finance or other similar systems. 

POSITION EFFECTIVE:  The position will remain open until filled.

SALARY & BENEFITS:  The starting salary is $80,312.  Additional compensation with seniority steps maximize at a salary of $123,851.  Benefits include comprehensive health coverage, a choice of defined benefit and/or defined contribution pension plan, generous leave benefits, and access to tax sheltered annuities and a deferred compensation plan.
