ESSENTIAL DUTIES AND RESPONSIBILITIES:

Act as system administrator for Lawson HRIS and point of contact for KRONOS.

Serve as primary HR member for writing, maintaining and supporting a variety of ad hoc or scheduled reports or queries utilizing appropriate reporting tools. Assist in development of standard reports for ongoing customer needs. Help maintain data integrity in systems by running queries and analyzing data.

Assists with benefit administration, as needed, to include, but not limited to advising employees of benefit options; determines eligibility and coverage; monitors changes in employment status. Assists employees with enrollment and termination of benefits (health, life, disability, reimbursement accounts). Answers requests concerning eligibility, coverage, and benefit information by interpreting policies, procedures, plans, and internal procedures. Coordinates with the payroll department and insurance carriers to resolve problems such as incorrect billing, cancellation or change of status and coverage, and other operational problems.

Oversees leave programs and monitors Workers' Compensation plan. Acts as liaison between employees and respective Occupational Health/Employee Health departments and/or outsourced vendors when coordinating leaves.

Oversees the performance management process and systems to ensure consistency and fairness in its operations. Sets up and enforces deadlines and conducts follow up on overdue annual evaluations on a consistent basis.

Ensures all labor and employee relations issues are addressed and/or escalated to Human Resources Director without compromising patient care.

Ensures compliance with EEO/Affirmative Action regulations.

Oversees activities related to PDL, ESL, FMLA and all other types of paid or unpaid leave..

Directs and maintains various activities designed to promote and maintain a high level of employee morale.

Makes appropriate arrangements to conduct in-service programs such as classroom space, speakers, and training materials.

Facilitates the process of tuition reimbursement for staff attending college courses and seminars.

Utilizes time efficiently in performing duties.

Coordinates orientation of all staff ensuring that orientation and departmental checklists are completed accurately and timely.

Completes Personnel Action Forms for all personnel actions, i.e., new hires, terminations, transfers, promotions, salary adjustments and submits to appropriate departments for signature.

Ensures that the payroll department receives copies of all notifications within 24 hours or as soon as possible in order to ensure timely processing of all personnel actions. Assists department heads, coordinators, etc. regarding information relative to transactions such as answering questions, providing dates, etc. Maintains records/logs pertaining to disciplinary actions, jury duty, LOA, FMLA, disability, etc.

Prepares and distributes 90-day probationary performance evaluations to department heads on a monthly basis; maintain accurate tracking system of completed reviews and notifies Director, Human Resources of the status of incompletes, returns, etc., prior to filing in personnel file.

Schedules Hospital Orientation on a monthly basis; notifies department heads/presenters in writing of scheduled program and sends out memorandum to all new employees regarding their mandatory attendance; completes and prepares orientation packets ensuring that all appropriate material is in the folder, schedules the Hoffman Auditorium for orientation, and submits order to the Dietary Department for breakfast for participants.

Submits reports directly to the union in a timely manner to ensure contract compliance.

Serves as backup to Director of Human Resources as necessary.

Performs other duties as assigned.


Qualifications

Qualifications:

Bachelor's degree in Human Resource Management, Business Administration or related field. Professional certification PHR/SPHR preferred.

Demonstrated knowledge of standard personnel policies and procedures, knowledge of standard local and federal requirements relative to employment laws and practices.

Three (3) years of Human Resource Generalist experience along with previous experience in health care environment.

Excellent verbal and written communications skills. Well developed interpersonal skills. Strong organizational skills. Proficiency with various computer software and systems including Microsoft Office Suite required; Lawson and KRONOS knowledge preferred.

BASIC FUNCTION:

This position is responsible for performing Human Resource general duties to include but not limited to Benefits, Position Descriptions, and New Employee Orientation. Internally and externally, the incumbent will interface with outside consultants, auditors, vendors, licensing and accrediting agencies, department managers and supervisors, hospital staff and the general public.
