JOB PURPOSE:

This position is responsible for the professional and efficient managing of telephone calls and messages, as well as a variety of clerical support tasks for the branch.

DUTIES AND RESPONSIBILITIES

KEY RESPONSIBILITIES:

  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Performs other clerical duties, such as filing, photocopying, and collating. Independently answers inquiries and provides information or assistance to callers and visitors which require thorough knowledge of office policies and procedures.
  • Driving to bank and post-office 2-3 days per week.
  • Receive/check in material in warehouse.
  • Handle deposits in the branch
  • Support sales teams with bids
  • Filing/reconciling po's

JOB REQUIREMENTS

EDUCATION:

High School diploma or equivalent

PROFESSIONAL EXPERIENCE:

  • One to three years related experience and/or training; or equivalent combination of education and experience preferred.

SKILLS AND COMPETENCIES:

  • Answer, screen, and direct inbound phone calls
  • Retrieve messages from voice mail and forward to appropriate personnel.
  • Answer questions about organization and provide callers with address, directions, and other information.
  • Monitor visitors' access when required.
  • Receive, sort, and accurately distribute incoming mail or other materials according to employee and the type such as bills, returned letters, orders, adjustments and.
  • Occasional filing for the A/P department.
  • Set up conference room and order meals for in-office meetings.
  • Set up desks and supplies for new staff members.
  • Running errands for the office may be needed on a weekly or monthly basis.
  • Other responsibilities may be assigned.
  • Knowledge of office procedures, practices, and etiquette.
  • Skill in telephone/receptionist etiquette and courteous communication with public, verbally and in writing.
  • Correct English usage, grammar, spelling, punctuation, and vocabulary.
  • Interpersonal skills using tact, patience, and courtesy.
  • Establish and maintain cooperative and effective working relationships with others.
  • Work confidentially with discretion.
  • Work independently with little direction.
  • Communicate effectively both orally and in writing.
  • Skilled in the operation of a variety of office machines including, personal computers, telephones, and copiers.
  • Knowledge of IES computer systems.
  • Must be a team player and abide by IES's strong core values and beliefs.

PHYSICAL REQUIREMENTS:

While performing the duties of this job, the employee is regularly required to sit, talk and hear. The employee frequently is required to sit, stand, walk, stoop, kneel, crouch, crawl, climb or balance. The employee will frequently lift and/or move 10 pounds and may be required to occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus.

ENVIRONMENT

WORK LOCATION: Onsite/ La Vergne, TN

PHYSICAL ENVIRONMENT:

This position works in a normal office environment as well as a warehouse environment, with standard office equipment. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc. while working in the office. The noise level in the warehouse environment is usually moderate and temperature can change based on the season.
