Assistant to Chair - OBGYN

Description The David Geffen School of Medicine, Department of Obstetrics and Gynecology is seeking a full time Assistant to Chair to function as the primary support to the Chair of the Department of Obstetrics and Gynecology. You would also support department faculty and complete the following duties:
* Responsible for assimilating material and data, coordinating attendance for professional society meetings, lectures, consultant visits and visiting professorships.
* Schedules meetings, prepares agendas, takes minutes, prepares documents and reports for meetings, prepares itineraries and travel arrangements.
* Drafts and prepares correspondence for internal and external distribution, including letters, memos and e-mails.
* Receives and manages all telephone calls, responding independently when possible, referring calls to other resources when appropriate.
* Maintain calendars for Chair, with complete authority for determining scheduling priorities.
* As a member of the team provides technical support and guidance to the administrative staff.
* Coordinates special projects as assigned.
Pay Range: $55,600.00 - $110,600.00 annually
Qualifications * Bachelor's degree in business administration, health administration, or other related field, preferred.
* Ability to work independently and skill in organizing work flow to accomplish established objectives.
* Skill in setting priorities, which accurately reflect relative importance of job priorities.
* Skill in accomplishing work with changing priorities and frequent interruptions.
* Working knowledge of University, School of Medicine and Medical Enterprise policies and procedures and demonstrated knowledge of fund development policies, procedures and strategies.
* Oral and written communication skills to obtain and convey information in a clear and concise manner to individuals at the highest levels within and outside of the University.
* Ability to write and edit grammatically correct business correspondence.
* Ability to exercise discretion and maintain confidentiality of sensitive patient and business information.
* Experience setting and managing budgets to meet project deadlines and needs.
* Skill with PC and standard software, including Word, Excel, Outlook and Powerpoint. Business writing and typing skill to prepare correspondence, reports and manuscripts with speed and accuracy.
* Ability to establish and maintain cooperative working relationships with physicians, residents, students, staff, patients and their families, donors and prospective donors, and with professional demeanor at all times.
* Skill in analyzing information, problems, practices and procedures to recognize alternatives and provide solutions.
* Ability to plan and complete projects, delegate work, revise procedures and plan project needs, work in an organized manner and respond to all request and project deadlines.
