Community/Government Affairs Sr. Coordinator- Hybrid

Job Description

General Summary:

The Community/Government Affairs Sr. Coordinator provides a high level of administrative support in an efficient manner. Responsibilities include establishing work flow priority based on assessment of tasks and consideration of interdepartmental needs. The role performs work using discretion under minimal supervision. This role interacts with both internal and external contacts to coordinate departmental business needs including handling details of confidential and critical nature.

Key Duties and Responsibilities:



  • Coordinates, tracks and manages the budget for all location-based sponsorships and corporate memberships related to the CEO and Vertex's giving strategy
  • Tracks and processes sponsorship/membership applications from the Vertex Grants Committee's business
  • Ensures timely communication with external partners to ensure payment, invoice and application submission through the Vertex portal
  • Proactively coordinates calendars and schedules for the Community Affairs team
  • Provides administrative support as needed to the Community Affairs team
  • Works closely with Community Affairs team and Office of the CEO on event logistics (room setup, catering, greeting guests etc.)
  • Provides project management support for all community affairs activities to ensure timely execution and cross-functional collaboration
  • Provides guidance to the team for Vertex internal technologies such as iProcurement, Concur etc.
  • Exercises judgment to optimize internal processes and procedures as related to maintaining sponsorships and memberships
  • Possesses understanding of departmental and company policies
  • Strong interpersonal skills to quickly build rapport and credibility across all levels of the organization


Knowledge and Skills:



  • Knowledge of advanced computer skills (Microsoft Office, Excel etc.)
  • Verbal and written communication skills to share information
  • Ability to independently interpret policies and solve a range of routine issues
  • Good judgement and ability in handling confidential information
  • Proven ability to handle multiple assignments simultaneously and be comfortable in a fast-paced, dynamic environment
  • Excellent attention to detail and diligent at following up.


Education and Experience:



  • High School Diploma
  • Typically requires a minimum of 2 years experience in an administrative role or the equivalent combination of education and experience
